Can QuickBooks show you all your recurring subscriptions?
Not as a list, no. QuickBooks holds every subscription payment you have made, because it holds every payment, but it has no built-in view that groups vendors into subscriptions and tells you which ones recur. The data is there; the report is not.
What does QuickBooks already have?
Everything you need as raw material. Every payment is recorded with a vendor, a date, and an amount, whichever rail it moved on. That is the complete input to a subscription audit, and it is why the ledger is the right starting point rather than a card feed or an app directory.
What can you get from QuickBooks reports?
The closest built-in answer is a vendor-oriented report such as Expenses by Vendor Summary, run over twelve months or more. That gives you a total per vendor, which is useful and is where anyone should start. Recurring transactions, a separate feature, lists the templates you set up in QuickBooks to post automatically; it does not list subscriptions the company pays for.
Where does it stop?
- A total per vendor does not tell you the cadence. Twelve hundred dollars a year is one annual charge or twelve monthly ones, and which it is changes what you do about it.
- Vendor names in a ledger are messy. Payment processor prefixes, a parent company billing for a product sold under another name, and the same tool spelled three ways all split one relationship across several rows.
- Nothing maps a vendor to what it sells, so two vendors covering the same capability look unrelated.
- Nothing compares a vendor against its own history, so a price that rose steadily reads as normal.
How do you get the list out of QuickBooks?
Export a transaction report covering at least twelve months to CSV and work from that, which is the manual version of the method in how to find every subscription your company pays for. The export needs no third-party access to your books, which makes it the right first step whether or not you connect anything afterwards.
The same applies to Xero, which has the same strength and the same gap. ShadowLedger reads either, through a connection that never writes to the books or from a CSV export.
