Duplicate bills and repeat software charges in Xero

Run Xero's Review duplicate bills first. It compares the contact, reference and amount of bills and credit notes, but it does not compare bills created from the same repeating template, and it does not compare bills with card or bank payments. Then run Account Transactions on the expense accounts where software lands for 12 months, group lines by product, and check every payment method. Fix recording errors in the file, and take the spending questions to the client.

A duplicate in a client's Xero file is one of three things: the same bill or charge recorded twice, the same tool paid for twice, or two tools that do the same job. Each one needs a different check and a different fix, so sort them before you raise anything with the client.

The first kind is a bookkeeping error, and you fix it in the file. The second and third are spending questions, and the client decides what to do.

Which kind of duplicate are you looking at?

The same bill recorded twice. A supplier's invoice comes in by email and again through an upload, or someone enters a bill by hand that already exists. Only one payment is owed.

The same tool paid twice. Two accounts for one product, often one on a company card and one paid as a bill. Both payments are real. The contact names often differ, so one product can sit under two contacts.

Two tools doing one job. Two project boards, two meeting apps, two e-signature tools. Both are real payments to different suppliers, and only the client knows whether both are needed.

What does Xero's duplicate bill review check?

Xero compares the contact, reference and amount of the bills and credit notes in the file and flags possible duplicates. When it finds some, a notification shows at the top of the bills tabs. To open the review, go to Purchases, then Bills, open the menu and select Review duplicate bills. For each supplier you can keep all, delete or void. A paid bill needs its payment removed before you can void it (Xero Central: review duplicate bills or credit notes).

What does the review skip?

Xero does not compare bills or credit notes created from the same repeating bill template. It may flag bills created from two different repeating templates (same Xero Central article). Two monthly bills from one template are not compared with each other, even if the template keeps posting after the client cancelled the tool or moved it to a card.

The review also compares only bills and credit notes. A card or bank payment recorded as a spend money transaction is not a bill, so a bill and a card payment for the same charge are not compared. The review compares the contact, reference and amount, so a copy under a second contact or with a different reference may not be flagged.

Step 1: rule out recorded-twice errors

Run the duplicate bill review first and clear what it finds. Then check what it skips.

Open the Repeating tab under Purchases, then Bills. For each repeating bill from a software supplier, compare the amount and the next date with what the bank or card shows. A template that keeps posting after a price change, a cancellation or a move to a card is a common source of doubles.

Then run the Account Transactions report on the expense accounts where software lands, for the last 12 months. In Xero it is under Reporting, then All reports. Add the Contact column, then sort or group by contact. Look for pairs with the same contact and amount a few days apart, and select each one to open the transaction behind it (Xero Central: Account Transactions report). A bill and a spend money transaction for one charge is a recorded-twice error.

Fix these in the books before you go further. They are not findings for the client.

Step 2: group the same tool under one name

Stay in the same report. For expense accounts, the Description column shows the contact name and the line description. A processor name such as "PAYPAL *" or "STRIPE" can hide the real vendor in that description. Write the product name next to each line, then sort by it. Two contact names for one product are now side by side.

If one supplier exists as two contacts, merge them. Xero lets you select contacts from the contacts list and merge their transaction history into the contact you keep (Xero blog: contacts update). That is housekeeping, and it does not answer whether the client needs both accounts.

Step 3: check every payment method

Same-tool duplicates hide across payment methods. One person pays on a company card, and a second account is paid as a bill from the operating account. A card statement shows half of it. The ledger shows both, as long as every bank and card account is in the file.

Open Bank accounts under Accounting and confirm that each card and bank account the client uses is there. A card account that is missing from the file is a common reason a review misses a duplicate.

Step 4: list overlapping tools, without guessing

For the third kind, list tools by what they do: chat, meetings, project boards, file storage, e-signature, design. Two paid tools in one row is worth a question. It is not a finding that one of them is unused. The books show what was paid, and nothing about who opens either tool.

What to bring to the client

Keep it to a short list the client can answer line by line. Fictional example (made-up client, made-up tools):

  • MEETLINE*TEAM: product Meetline, how paid Company card, monthly amount $45.00. Question: Two Meetline accounts?
  • Meetline Ltd: product Meetline, how paid Bill, monthly amount $45.00. Question: Two Meetline accounts?
  • Taskboard Pro: product Project board, how paid Company card, monthly amount $96.00. Question: Both boards still needed?
  • TASKMINT.IO: product Project board, how paid Bill, monthly amount $64.00. Question: Both boards still needed?

Write what the ledger shows and ask the question. Leave the decision with the client.

Where this gets slow, and what a scheduled review changes

Steps 2 to 4 are reading work: contact names, descriptions, payment methods, dates. On one client it takes careful reading. Across a book of Xero and QuickBooks Online clients it competes with close.

ShadowLedger does that first pass from the payments. It takes a QuickBooks Online or Xero export, or a CSV from other books, and flags charges that repeat, possible duplicate vendors, amounts that changed, and renewals you can see from the charges. In the report, fixed rules calculate every figure. AI only suggests vendor names, flagged for review. On the Firm plan you can connect QuickBooks Online or Xero directly instead of exporting, and you get a white-labeled findings report to share under your firm's name. Connected clients on the Pro and Firm plans are re-scanned weekly.

Built from payments in the ledger, no seat or login data needed.

To try it on one client first, run the free CSV audit on one company's export. It needs no card. For the whole book, the Firm plan is $15 per client per month with a 4-client minimum ($60 a month), and the Firm trial runs 14 days. Data handling is on the security page and in the DPA.

FAQ

Does Xero flag duplicate bills?

Yes. Xero compares the contact, reference and amount of bills and credit notes and shows a notification at the top of the bills tabs when it finds possible duplicates. Open Review duplicate bills from the menu on the Bills page, then keep, delete or void each one.

Why didn't Xero flag a duplicate bill?

The review compares the contact, reference and amount, so a copy under a second contact or with a different reference may not be flagged. Bills created from the same repeating template are not compared, and a card payment recorded as spend money is not a bill, so it is not compared either.

Are Xero repeating bills checked for duplicates?

Not against each other. Xero does not compare bills created from the same repeating bill template. Check each software template against the bank or card feed yourself.

How do I find duplicate transactions in Xero?

Run Account Transactions on the expense accounts where software lands for 12 months, add the Contact column, and sort or group by contact. Look for the same contact and amount a few days apart, and open each pair. Group lines by product name before you decide whether a pair is an error or two real accounts.

For bookkeeping firms

Keep the books for clients on QuickBooks Online or Xero? Software spend review for bookkeeping firms covers running it across a whole client book, with the report in your firm's name.
