Cancellation window
The notice period before an auto-renewing contract locks in another term. Miss it and the renewal is owed in full, whether or not the tool gets used, which makes the window itself the thing worth tracking.
Why do cancellation windows get missed?
Because the deadline is set by a document nobody rereads and lands roughly a year after anyone last thought about the tool. Thirty, sixty, and ninety days before renewal are all common. The window opens and closes with no notification from the vendor, whose interest is served by silence.
How does a ledger help you catch a renewal?
An annual charge in the books dates the anniversary precisely. If a vendor billed on 14 March last year, the renewal is due around 14 March this year, and a ninety-day window closes in mid-December. That is a date you can act on, derived from a payment record rather than from a contract nobody can find.
It gives you the date, not the terms. The notice period itself lives in the agreement, so confirm the window against the contract before relying on it.
Every term in this glossary is defined from the general ledger, because that is the one place a company's whole software estate is already written down. See how a software spend audit reads a ledger for what that involves.
