How does a bookkeeping firm bill for a software spend audit?

Do I need access to my client’s QuickBooks or Xero account?
No. Your client exports one transactions report from QuickBooks Online or Xero and you upload it. No OAuth, no connecting anything, nothing for you to be on the hook for. Show them the found money first, then connect the ledger for the clients who want it running continuously; we only ever read. What is in a software spend findings report?
Every recurring charge the audit found, ranked by what it costs, each one carrying a dollar figure and the reason it was flagged, under your firm’s logo and a prepared-by line. The sample company alone has about $19,824 a year riding rails a card tool never sees. That is one file.
A report you hand the client
Every audit renders a clean findings report with your logo, a "Prepared by [your firm]" line, and "Prepared for [client]". Print it to a PDF or send a revocable share link. It is the deliverable, not a dashboard they have to log into.
The spend their card tool can't see
Ramp and Brex only see their own card. The books record everything: ACH, checks, bill pay, annual invoices, a reimbursed personal card. That non-card spend is usually the biggest line item and the easiest win to point at.
Renewals and cancellation windows
Projected renewal dates from charge cadence alone. Add a contract's end date and notice period and it guards the cancellation deadline too: "give notice by the 14th or you are locked in for another year" is the kind of catch a client remembers.
Duplicates, price hikes, tools still billing
Two tools doing the same job, a vendor that quietly raised its price, a charge that has run unchanged for months. Each finding carries a dollar figure, so the first thing you cancel covers the review. Add seat counts per vendor and it will flag the seats you are paying for and not using.
